Position Overview:
The Executive Assistant to the CEO/COO/Executive Team serves as a strategic partner, providing high-level administrative, operational, and logistical support. This role requires exceptional organizational skills, discretion, and the ability to manage competing priorities while maintaining a high degree of professionalism. You will act as a liaison with internal and external stakeholders and play a critical role in ensuring the efficient management of the CEO/COO/Executive Team’s time and responsibilities.
Key Responsibilities:
- Serve as a primary point of contact for the CEO/COO/Executive Team, managing communications and correspondence with internal and external stakeholders.
- Maintain and prioritize executive calendars, ensuring alignment with strategic initiatives and goals.
- Support meetings by preparing agendas, taking notes, and following up on action items.
- Assist in strategic planning, policy development, and implementation of innovative systems to streamline operations.
- Collect, analyze, and report on data to track organizational performance metrics.
- Plan and coordinate various meetings and events, including Board of Directors, Shareholder, and Leadership Team meetings.
- Manage travel arrangements, expenses, and payroll for the CEO/COO and assist board members with travel logistics as needed.
- Oversee special projects, ensuring tasks are assigned and progress is communicated effectively.
- Maintain confidential files, data records, and oversee the organization's Record Retention Policy.
- Provide on-call support to the CEO/COO as needed.
Qualifications:
- Bachelor’s degree in business administration, communications, or a related field (preferred).
- 3-5 years of experience as an executive assistant supporting C-level executives.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with Access databases and Power BI is a plus.
- Exceptional written and verbal communication skills.
- Strong organizational and problem-solving abilities, with attention to detail.
- Discretion and ability to handle sensitive and confidential information.

Physical Requirements:
- Prolonged periods of sitting, typing, and working at a desk.
- Occasionally required to stand, walk, and carry light items (up to 15 lbs).
- Ability to travel for offsite meetings or events as needed.
