Job Title: Executive Assistant
Position Overview: We are seeking a highly organized and proactive Executive Assistant to support our executive team. The ideal candidate will have exceptional communication skills, impeccable attention to detail, and the ability to thrive in a fast-paced environment. This role will involve providing comprehensive administrative support to executives, managing calendars, coordinating meetings and travel arrangements, and handling confidential information with discretion. Experience with non-profits, government contractors, or federal agencies is highly desirable.
Responsibilities:
Administrative Support:
Provide high-level administrative support to executives, including managing calendars, scheduling meetings, and handling correspondence.
Prepare and edit correspondence, reports, and presentations as needed.
Maintain organized filing systems and ensure documentation is up-to-date.
Calendar Management:
Coordinate and schedule meetings, appointments, and travel arrangements for executives.
Anticipate scheduling conflicts and proactively resolve them.
Ensure executives are briefed on upcoming appointments and provide necessary materials.
Communication:
Serve as the primary point of contact for internal and external stakeholders, screening and prioritizing communications.
Draft and edit emails, letters, and other correspondence on behalf of executives.
Maintain professional and courteous communication at all times.
Meeting Coordination:
Arrange and coordinate meetings, conferences, and events, including booking venues and arranging catering if necessary.
Prepare meeting agendas, take minutes, and distribute action items as needed.
Ensure meeting materials and presentations are prepared and distributed in advance.
Travel Arrangements:
Coordinate travel arrangements for executives, including booking flights, hotels, and transportation.
Prepare travel itineraries and ensure executives have all necessary documentation.
Handle any changes or issues that arise during travel.
Confidentiality:
Handle sensitive and confidential information with discretion and professionalism.
Maintain confidentiality of executive discussions, decisions, and documents.
Qualifications:
Bachelor's degree preferred.
Proven experience as an Executive Assistant or similar role, preferably in a non-profit, government contractor, or federal agency environment.
Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
Excellent communication skills, both written and verbal.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Ability to maintain a high level of professionalism and confidentiality.
Strong attention to detail and accuracy.
Ability to work independently with minimal supervision.
