Job Description:
We're looking for an Executive Assistant to support our Global Communications Lead with travel, scheduling, organization, and general operations. The ideal candidate will be able to thrive in a fast-paced environment, anticipate needs, prioritize workstreams, and contribute to our team culture and operational excellence.
Responsibilities:
- Actively manage calendars and daily schedules, prioritizing competing meeting requests, tracking action items and commitments, while maintaining balance in schedules.
- Arranges detailed travel plans and itineraries, anticipating needs, managing preferences, and adapting to evolving schedules and requests.
- Coordinate leadership team meetings, both virtual and face to face, which would include development of the agenda, taking minutes, and distributing necessary information back to participants.
- Secure space, supplies, and catering for team meetings and events.
- Complete various administrative tasks including maintaining departmental listings, distributions lists, Slack channels, subscriptions, expenses, supplies, and equipment.
- Provide back-up administrative support for the Chief Marketing and Communications Officer, when her Executive Assistant is on vacation or unavailable.
- Coordinate and support onsite events as well as other team projects in San Jose, CA
Qualifications:
- High school diploma or equivalent, proficient written and verbal communication skills
- 3+ years administrative experience, ability to support multiple executives
- Excellent organizational skills and the ability to perform and prioritize multiple tasks and deadlines, with attention to detail
- Strong interpersonal skills and the ability to build relationships with peers and stakeholders
- Proficient in Microsoft Office (Outlook Word, Excel and PowerPoint), SharePoint skills a plus
- Ability to learn and manage multiple internal tools and platforms (SharePoint, Slack, travel tools, etc.)
- Good judgment and discretion, ability to respect confidentiality.

USD Annual Salary: $60,800.00 - $140,400.00
