Summary Description of This Position’s Work and Contributions to The Chamber’s Success:
The Executive Assistant relieves the President and Chief Executive Officer (CEO) of administrative functions and increases the time CEO has available for essential functions and executive level responsibilities. This position also handles a variety of complex and confidential situations. This multi-faceted role routinely interfaces with high-profile individuals such as the Executive Board, Board of Investors, business leaders, government representatives, and dignitaries.
Essential Duties:
- Oversee the CEO's complex calendar and prepare him for each meeting with directions, details on attendees, and necessary materials
- Orchestrate activities involving the President & CEO, senior level executives and Chamber members
- Handle communication for multiple phone lines and email accounts of the CEO, determine which messages and emails require priority attention; periodically send correspondence and mail merge emails on behalf of CEO
- Communicate on a high-level, professional manner with community leaders, governmental officials, C-suite executives on behalf of the CEO
- Maintain confidentiality of Chamber matters and other sensitive and critical information
- Act as point of contact between CEO and other Principal Staff members; assist Principal Staff members with administrative tasks when needed
- Serve as coordinator of the Executive Board and Board of Investors to include preparation of agendas, presentations, remarks, minutes and other support for presenters
- Plan and coordinate agendas and meeting materials for weekly Principal Staff meetings, and monthly Full Staff meetings. Track and manage follow up items and tasks from Principal Staff and Full Staff meetings
- Manage Season Ticket accounts for Spurs and Rodeo tickets, ensure log of ticket use is accurate, ensure tickets are distributed properly
- Prepare expense reports on monthly basis for CEO & Executive Vice President
- Perform additional duties as required to support this office

Education Requirements:
Minimum:
- Associate’s degree
Preferred:
- Bachelor’s degree
Previous Experience Requirements:
Outside The Chamber:
- Minimum five years of administrative experience at the Chairman/CEO/Board of Director level
- Experience in contributing to establishment and development of team goals and direction
- Experience in gaining consensus, support, and commitment
- Strong computer and internet research skills, including MS Office, multiple software applications

Physical Requirements:
- Must be able to lift up to 25 pounds

- Must be able to walk, stand and work for extended hours
- Must have reliable transportation
- Must have flexibility for attending or responding to meetings and inquiries sometimes outside of normal business hours
