The Executive Assistant to the President manages office planning and operations, ensuring consistency in executive responsibilities. Serving as an adviser, this role handles routing, staffing, and tracking issues requiring executive decisions, and coordinates the President's meeting and event preparations. In addition, the assistant acts as the university's Liaison to the Board of Trustees, managing all related operations. Responsibilities include maintaining and overseeing training for the Board of Trustees web portal, attending Board meetings, and planning three annual Board meetings and the appropriate committee meetings in collaboration with the President, Board Secretary, Board chair, and committee chairs.
ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following:
- Event Management: Plan and coordinate major university events, including commencement, campus celebrations and special events. Manage event budgets and ensure successful execution. Represent the President in event planning, production, and execution.
- Strategic Planning and Operations: Track, monitor, and report on established goals. Oversee daily presidential operations and streamline divisional operations.
- Liaison and Representation: Serve as a liaison to various stakeholders including student body and the community. Represent the President on committees and task forces.
- Staff Management: Supervise, direct, and train staff. Monitor and coordinate staff activities. Ensure adherence to university policies.
- Administrative Tasks: Respond to inquiries. Compose correspondence. Ensure timely follow-through. Maintain records. Update databases. Complete special projects. Carry out supervisory responsibilities as needed.
- Board Operations:
- Serves as staff liaison to committees of the Board of Trustees, as needed.
- Supervises the Board of Trustees web portal by maintaining its database contents and oversees training of trustees in its usage.
- Attends all Board meetings, supporting the Secretary of the Board and is responsible for all logistics in implementing and planning three Board meetings a year.
- Develops, produces, and implements materials for the Board meetings, working in conjunction with the President, the Board chair, Board committee chairs, and university vice presidents.
- Maintains and updates the Board roster and committee assignments.
- Completes special projects as assigned by Chair and Vice Chair of the Board of Trustees.
- Maintains sensitive and confidential records, files and minutes of the Board of Trustees.
QUALIFICATIONS:
- Bachelor's degree (B. A.) from four-year college or university desired.
- Three to five years related experience and/or training, experience in higher education is a plus.
- Or equivalent combination of education and experience.
- Excellent skills in Microsoft Word, Excel, PowerPoint, and Outlook.
- Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents.
- Ability to effectively present information to top management, public groups, and/or boards of directors.
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- This position requires the ability and/or skill to work closely and professionally with others as part of a team; be flexible; pay attention to detail; work without supervision and demonstrate considerable initiative; communicate professionally through both verbal and written means; work well with men and women from diverse backgrounds; manage multiple priorities under tight deadlines; establish departmental goals and priorities; adhere to a strict confidentiality policy in matters pertaining to the Board of Trustees and President's Office; and contribute to Capital University's philosophy, strategic plan, goals, and doctrine.
