Duties/Responsibilities
Scheduling
Maintains President & CEO's calendar and fields requests for meetings and other engagements; handles requests for rescheduling as needed.
Keeps President & CEO apprised of upcoming engagements, sending reminders and preparing/providing advance materials as necessary.
Greets meeting guests when they arrive and escorts them to appropriate meeting spaces; sets up spaces, proactively anticipating and addressing logistical needs.
Working with Operations Team, coordinates use of IISTL building, including reserving rooms for external groups, when necessary.
Correspondence
Assists President & CEO with written correspondence, ensuring the agency is represented professionally and that inquiries are addressed in an efficient and timely manner.
Manages agency's Info (general inquiry) and President email accounts.
Board Support
Assists in communication with Board members, including via email and at quarterly meetings.
Assists with Board meeting logistics, including handling technical needs for remote participants.
May assist with taking, editing, and distributing meeting minutes.
Assists in updating Board rosters.
General
Assists team members with special projects.
Assists with special events; these may require work on evenings and weekends as needed.
Facilitates planning and delivery of monthly Community Update virtual meetings.
Provides technical support to President & CEO at meetings when necessary.
Assists with routine administrative and expense reports tasks.
Attends internal meetings, helping facilitate remote access when needed.
Other duties as assigned.
Required Skills/Abilities
Exceptional organizational skills and attention to detail.
Ability to prioritize and perform disparate tasks seamlessly, efficiently, and accountably.
Excellent verbal and written communication skills and a commitment to providing outstanding customer service.
Good judgment and the ability to proactively make timely, well-informed, and sound decisions; able to anticipate and plan ahead to complete tasks in a timely manner.
High level of flexibility; comfortable adapting to changing circumstances when needed.
Comfortable working independently and proactively finding answers to questions when needed.
Ability to communicate and interact effectively with diverse individuals at all organizational levels, both internal and external.
Able to exercise a high level of discretion and maintain confidentiality.
Proficient in Microsoft Office Suite or related software; able to quickly learn new software platforms to perform job tasks.
Ability to work occasional evenings and weekends.
Education and Experience
Bachelor's degree required or equivalent experience in related discipline.
Three to five years of experience in an administrative role.
