Job Summary/Company: A national recognized university is looking for a seeks an experienced and highly organized Executive Assistant to provide exceptional support to the Dean. As trusted partner to the dean, you will serve as the Dean's right hand, managing their schedule, appointments, travel, and confidential information. You will proactively anticipate needs, ensuring the Dean's time is maximized and priorities are met. You will also be a key liaison, fostering collaboration and communication with faculty, staff, students, and external stakeholders..
This is a fully on-site opportunity and requires proof of COVID-19 vaccination and booster.
Responsibilities:
Manage the Dean's complex schedule, prioritizing competing demands and ensuring appointments are efficiently scheduled across multiple calendars. Oversee arrangements for VIP visitors, dignitaries, and government officials, guaranteeing a smooth and successful experience. Cultivate relationships with key partners across the university and beyond, facilitating collaboration and effective communication. Conduct research and synthesize information into clear and concise briefing materials for the Dean. Manage travel arrangements, calendar, phone calls, files, office supplies, and expenses. Craft, proofread, and finalize correspondence, memos, and documents with exceptional attention to detail and accuracy
Qualifications/Background Profile:
Bachelor's degree required. Minimum 5 years of experience as an executive assistant supporting a high-level executive. Proven success managing complex schedules and appointments. Discretion and professionalism in handling confidential information. Exceptional organizational and time management skills with the ability to prioritize and meet deadlines. Excellent written and verbal communication with strong attention to detail. Ability to problem-solve independently and collaboratively in a dynamic and fast-paced environment. Strong independent work ethic, sound judgment, initiative, and decision-making skills. Proficiency in Microsoft Office Suite and productivity software tools.
