Your Role:
Provide executive-level administrative support to the Chief Operating Officer of Feed My Starving Children (FMSC). Manage the COO’s calendar, travel, and correspondences. Maintain relationships with Executive Team members. Prepare presentations, schedule meetings, compose various communications, and create reporting summaries.
Pay, Schedule & Benefits:
- The anticipated starting pay range is $53,400 - $56,000.
- This is a full-time, exempt (salaried) position. Typical work schedule is Monday-Friday, regular business hours.

What You’ll Do:
- Manage COO’s calendar, schedule meetings, and manage meeting preparations for all internal/external meetings. Anticipate scheduling conflicts and proactively resolve them to optimize the COO's time.
- Manage COO’s correspondence including email, phone, and mail. Review incoming correspondence, arrange in priority action order and prompt COO with response priorities. Condense and filter external communication for intake by COO.
- Arrange all aspects of the COO’s travel, including travel schedules, reservations, confirmations, travel expense reporting, and follow-up (acknowledgments, registrations, thank you notes, etc.).
- Compose, prepare, proof, and edit internal and external announcements, statements, and messages.
- Establish and implement workflow and time management procedures for COO. Maintain a comprehensive task list, and clearly communicate and monitor all due dates and required follow-up deadlines.
- Develop professional relationships with Executive Team members. Prepare agendas and attend meetings. Safeguard sensitive and confidential information.
- Coordinate with Executive Assistant to the CEO on events, large in-person meetings, and zoom meetings. Assist with preparing agendas, information packets, facility reservations, supplies, hospitality, and conduct post-meeting follow-up.
- Prepare presentations, communications, reports, charts, and business impact summaries for consideration and presentation by the COO.
- Create, organize, and maintain physical and electronic files, contact lists, and email distribution lists.
- Perform other duties as assigned.
Your Qualifications:
- Commitment to support, promote and authentically communicate FMSC’s Christian mission and goals.
- Minimum of bachelor’s degree and 5 years of experience in a related field. In lieu of degree, equivalent work experience considered.
- Advanced competencies with Microsoft Office required. Willingness and ability to learn new systems.
- Exceptional verbal, written, and interpersonal communication skills. Able to professionally interact with all levels of internal and external contacts.
- Enthusiastic collaborator with diverse people groups: those varying in beliefs, abilities, nationalities, races, languages, and backgrounds.
- Excellent organizational skills with high level of attention to detail and follow-up.
- Able to prioritize, manage multiple tasks, and meet deadlines in fast-paced environment.
- Self-starter with ability to independently make decisions, perform tasks, and solve problems.
- Able to use discretion and maintain confidentiality of sensitive information.
- Able to travel domestically up to 5% annually.
Your Team:
- Work location is Eagan, MN. Position will have flexible/hybrid work schedule that allows for both office and remote work. Anticipated 3 days per week in office.
- Reports to the COO.
