Executive Assistant – Finance and Operations

About this Opportunity:
The Executive Assistant – Finance and Operations is a critical role for our client as you will be contributing to the overall financial and operational success of the company.
We are seeking a dynamic professional with excellent oral and written communication and quantitative reasoning and analytical skills and a passion for solving complex problems. The role provides a wide range of functional area support including, but not limited to, Contract Administration, Investor Relations, Finance and Accounting, and Asset Management. Time may be split supporting one or more executives as needed. Other tasks may include tracking expenses, coordinating meetings with internal and external individuals, screening telephone calls, and other administrative tasks. Working knowledge of MS Office Suite and other office productivity software is required. Prior experience supporting an executive team is required.
Responsibilities:
- Work remotely supporting our executive team with daily tasks.
- Foster a positive, professional, and customer-/client -centric attitude, representing the company with coworkers, clients, and the public across all communication channels.
- Strong organizational skills; self-motivated with ability to prioritize, perform follow-up, and complete multiple tasks.
- Develop and maintain strong relationships with internal and external customers, partners, and vendors.
- Organize and maintain files, documents, and confidential information.
- Attend meetings with executive partners; draft, proofread, and prepare correspondence, reports, and presentations, ensuring they are free of typos and grammatical mistakes.
- Provide general administrative support.
- Collaborate to handle expense management, ordering, and restocking office supplies.
- Review, upload, and manage various reports.
- Maintain complete and accurate files and records, providing prompt, detailed, and accurate general status reports.
- Utilize various technology, software, and communication styles to review and promptly perform tasks. The EA must demonstrate a strong understanding of Microsoft Office and a willingness to learn CRM systems
- Establish and maintain collaborative working relationships between departments, with co-workers, and particularly with other project team members.
Competencies & Characteristics:
- Minimum of three years of experience in construction or operations; administration including accounting, contract management, internal and external communications; and data entry and management.
- Proficient in navigating CRM systems (e.g. Zoho CRM) and utilizing web-based business tools (e.g. DocuSign), word processing, spreadsheets, and e-mail.
- Highly Proficient in Microsoft Office work environment with experience successfully working remotely using Zoom, chat, text and phone.
- Candidates must be polished, sharp, and have strong attention-to-detail with communication proficiency both written & verbal.
- Results driven with high level of initiative and integrity.
- Highly motivated with strong critical thinking skills and ability to work independently.
Compensation and Work Environment:
- Independent Contractor with an hourly base pay: $25.00 - $35.00 per hour – based on experience with bonus and incentive opportunities for meeting and exceeding goals.
- Physical setting is remote, ideal candidates will be in the San Diego CA market.
- Schedule: Flexible Monday to Friday 40 per week
