Job Details:
We are seeking a highly motivated, detail-oriented, and experienced Executive Assistant to support our dynamic CEO in the fast-paced Manufacturing industry. This is a permanent position offering a unique opportunity to engage in a wide range of administrative and strategic business tasks. The successful candidate will be a critical force in ensuring smooth business operations and effective communication with all levels of management, staff, and clients.
Responsibilities:
1. Manage and maintain the CEO's calendar, including scheduling and coordinating meetings, conferences, and teleconferences.
2. Plan, arrange, and coordinate both domestic and international travel for the CEO, including flights, accommodations, transportation, and itineraries.
3. Prepare and edit correspondence, communications, presentations, and other documents on behalf of the CEO.
4. Conduct research, compile data, and prepare reports for consideration and presentation by the CEO.
5. Liaise with internal staff at all levels and interact with external clients and partners.
6. Organize and maintain the office filing system and handle requests for information and data.
7. Assist in the preparation of board meetings, including coordinating schedules, preparing materials, and taking minutes.
8. Handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
9. Provide a bridge for smooth communication between the CEO's office and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.
Qualifications:
1. Minimum of 5 years of experience as an Executive Assistant reporting directly to senior management, preferably in the Manufacturing industry.
2. Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software.
3. Proficiency in collaboration and delegation of duties.
4. Exceptional organizational skills and impeccable attention to detail.
5. High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders, donors, and funded partners.
6. Ability to handle confidential information with discretion and demonstrate high levels of integrity and discretion in handling sensitive information.
7. Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners.
8. Excellent written and verbal communication skills.
9. Demonstrated proactive approaches to problem-solving with strong decision-making capability.
10. Proven ability to handle multiple tasks simultaneously, prioritize workload efficiently, and meet strict deadlines.
11. Bachelor's degree preferred.
