Job Description:WHAT YOU WILL BE DOING
As an Executive Assistant, you will act on your own initiative, providing administrative support for Building Climate Solutions President and leadership team which includes the VP of Human Resources and VP of Finance.
Responsibilities:
- Manage Segment President’s calendar and assists in scheduling meetings for Building Climate Solutions leadership team
- Manage travel and expenses for Segment President
- Coordinates meetings including arranging meeting spaces, meals, and technology
- Responds to inquiries and follows up with other departments to ensure that requests are carried out
- Assembles and analyzes information, prepares reports, manuals, agendas, correspondence, and memoranda
- Composes memos, transcribes notes, and researches and assists in the creation of presentations
- Researches and obtains information for reports and special assignments
- Coordinates activities across departments
- Manage employee breakrooms including stocking supplies
- Assists with departmental projects
WHAT WE ARE LOOKING FOR
- High school diploma or an equivalent combination of education and experience; college degree preferred
- 5+ years related experience
- Ability to maintain confidentiality
- Deep knowledge of Microsoft Word, Outlook, PowerPoint and Excel
- Strong attention to detail and accuracy
- Strong analytical and problem-solving skills
- Ability to work independently and function as part of a team
- Able to work with all levels of management
- Must be able to prioritize work, work on multiple tasks and maintain organization of trips/meetings
- Excellent telephone and customer etiquette skills
- Strong written and verbal communication skills
