About the Job
Our client, an investment firm that works to provide investment solutions for their own clients, is seeking a Executive Assistant to join their team in San Francisco. Our client is seeking a bright, professional, well-organized, resourceful, and detail-oriented individual to support the Company’s General Counsel (“GC”) and Legal Department. Must possess a strong work ethic, calm demeanor, positive attitude, and genuine desire to contribute to and enhance the performance of the GC and the Legal Team.
This is a hybrid, temp position with a possibility for extension in San Francisco. Pay will be $40-45/hr
Responsibilities:
Support the General Counsel by:
- Managing schedules, travel arrangements, and expenses (using Concur)
- Handling phone coverage, drafting correspondence, and preparing presentations
- Formatting, editing, tracking, and proofreading contracts and legal documents
Enhance Legal Department operations by:
- Tracking contracts and invoices from intake to execution using databases and DocuSign
- Assisting business teams with contract review procedures
- Organizing and managing legal document files
- Supporting Board meetings, including scheduling and preparing agendas, minutes, and other materials
- Assisting with corporate and fund regulatory filings domestically and internationally
Support Global Head of Risk & Compliance by:
- Preparing presentations, compiling expense reports, and organizing meeting materials
- Coordinating with other departments on strategic projects
Qualifications:
- Minimum 7 years of administrative support experience, preferably in a legal setting
- High proficiency in MS Word (advanced formatting and redlining), Adobe Acrobat, and strong Excel/PowerPoint skills
- Must have experience in formatting, editing, and typing agreements
- Strong organizational and communication skills, with attention to detail and confidentiality
- BA/BS degree preferred; financial services experience a plus
- Must be a U.S. citizen or authorized to work in the U.S.
