Executive Assistant to County Administrator Internship
Middlesex County is seeking a highly motivated Executive Assistant Intern. This internship will provide the opportunity to gain hands-on experience in the work of the County’s Administrator Office, touching every aspect of the organization. The ideal candidate will have excellent communication and organizational skills, and be willing to learn and take on new challenges.
The Executive Assistant Intern to the County Administrator will provide administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the County Administrator’s behalf. Responsibilities also include organizing meetings, including scheduling, sending reminders, and managing the County Administrator’s and Commissioner Director’s calendars, including making appointments and prioritizing the most sensitive matters.

Responsibilities will vary throughout the internship, below is an example of responsibilities, included but not limited to the following:
- To assist the County Administrator in day to day activities
- To prepare power point presentations, meeting notes, agendas and take minutes at meetings as requested, ensuring that minutes are prepared and distributed, and follow-up on actions from meetings
- To sort the County Administrator’s and Commissioner Director’s incoming mail and to provide comprehensive secretarial support in relation to correspondence - logging, forwarding, prioritizing, and responding
- To make and receive telephone calls
- To maintain the County Administrator’s and Director’s calendars and set up meetings as appropriate
- Performing any other appropriate tasks or duties as required, at the request of the County Administrator, Commissioner Director and the team members from other offices
- Responsible for collecting and monitoring all stationery orders for the Administrator’s Office
- Manage supplies
- Communicate with Strategic Team members as needed
- Manage information flow in a timely and accurate manner
- Assist County Administrator in preparing and updating monthly reports
- The Executive Assistant Intern will also be invited to sit in on several staff meetings and meetings between the County Administrator and some external partners to gain a comprehensive understanding of the County organization and its impact on the public sector as a whole.
Duration of internship: Approximately 9 months
Anticipated start date: May/June 2024
Anticipated end date: January/February 2025
- $20/hr
- 35 hours a week
Qualifications
- The most qualified candidate will be a recent graduate with a Bachelor’s degree in Political Science, Public Administration, Public Policy, Business, or Management preferred
- Advanced MS office skills, particularly Excel, Word and PowerPoint
- Attention to detail
- Positive attitude
- Discreet, professional and well spoken, with good verbal and written communication skills
- Exceptionally organized and efficient, with a good dose of common sense and initiative
- Ability to use judgment and seek guidance with confidential issues
