Summary

The purpose and goal of the Executive Assistant (EA) is to enhance the effectiveness and productivity of the CEO. In the role of Executive Assistant, the primary responsibilities will include managing schedules, coordinating meetings, handling correspondence, managing data board, and facilitating smooth communication between the CEO and various internal and external stakeholders.

Key Responsibilities

• Task Prioritization: Prioritize and manage multiple tasks simultaneously. Anticipate and prioritize the CEO’s needs and deadlines, proactively addressing needs to ensure timely completion of assignments.
• Calendar Management: Coordinate and manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
• Meeting Coordination: Arrange and coordinate meetings, conferences, and events, both internally and externally.
• Travel Arrangements: Coordinate travel itineraries, including flights, accommodation, and transportation.
• Communication Liaison: Serve as the primary point of contact for the CEO, screening and prioritizing incoming calls, emails, and correspondence.
• Information Management: Organize and maintain physical and electronic files, ensuring easy access and retrieval.
• Relationship Management: Cultivate and maintain positive relationships with internal and external stakeholders.
• Event Coordination: Plan and manage annual events and customer engagement activities.
• All other duties assigned.

Minimum Qualifications & Experience:

• Bachelor’s degree preferred, or equivalent combination of education and experience.
• Proven experience as an executive assistant or similar role.
• Excellent executive presence with strong verbal and written communication skills.
• Self-starter with the ability to work under minimal guidance.
• Strong organizational and time management abilities.
• Discretion and confidentiality in handling sensitive information.
• Proficiency in Microsoft Office Suite and other relevant software applications.

Physical Requirements

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is occasionally required to stand, walk, sit, reach with hands and arms, talk, and hear. Must be able to lift and carry up to 35lbs on occasion.

Position Type/Expected Hours of Work

This is a full-time exempt position, 40 hours a week Monday – Friday. This role requires some evening hours as needed for offsite meetings.
