Executive Assistant, Chief Brand Officer MACRO

Brand MACRO is a creative agency focused on building community through brand marketing, merchandising, partnerships, and experiential activations.
The Executive Assistant will support our Chief Brand Officer. You will be responsible for performing high-level administrative, project management support, and logistical tasks to alleviate responsibilities and ease the executive workload.
Our ideal candidate is a positive, upbeat, self-starter, quick learner, and team player with a strong understanding and interest in current brand and marketing trends as well as working knowledge of the entertainment and media industry. The ability to create and adapt to processes, meet deadlines, and work with multiple internal and external stakeholders is key. You are entrepreneurial by nature and can work on multiple projects at the same time. Most importantly, you embrace the mission of MACRO and are enthusiastic about working with us to achieve our goals. This position is based in our Los Angeles office.
Responsibilities:
- Provide comprehensive administrative support, including managing complex calendars, schedule requests, conflicts, agendas, itineraries, expense reports, travel arrangements, reservations, and personal duties as needed.
- Prioritize daily, weekly, and monthly tasks and organize internal and external meetings.
- Proactively plan itineraries; anticipate and execute changes swiftly.
- Anticipate needs and prepare CBO accordingly, including gathering and creating meeting details, agendas, presentation materials, documentation, reports, and/ or recording accurate and detailed meeting notes.
- Prepare verbal and written correspondence with internal stakeholders and external companies, vendors, clients, and partners on behalf of the executive.
- Prioritize conflict needs, handle matters expeditiously and proactively, and follow through on projects to successful completion, often with deadline pressures.
- Serve as the first point of contact for the CBO and always maintain a high level of confidentiality.
- Ad hoc projects and other duties as assigned
Qualifications:
- Proven experience as an Executive Assistant (or in a similar role), ideally supporting senior-level executives.
- Interest and/or experience in Brand, Marketing, Events, Media, Partnerships, and Experiential Activations.
- Exceptional organization, problem-solving, and time management skills with the ability to manage multiple competing, urgent priorities and tight deadlines
- High level of oral/written communication, interpersonal skills, and attention to detail
- Comfortable with ambiguity and ability to thrive in fast-paced structured and unstructured environments
- Ability to work independently, exercise good judgment, and operate with critical thinking.
- Outstanding interpersonal skills, team-oriented and positive attitude with the ability to work cross-functionally across the organization.
- High degree of proficiency with Microsoft Office and/or Google Suite and other software tools.
