Executive Assistant to CEO

The Role:
As Executive Assistant to the CEO, you'll provide high-level administrative support to the CEO and other senior executives, ensuring efficient operations and effective communication within the executive office and across the organization. You'll serve as the primary point of contact for internal and external communications involving the CEO.
Key Responsibilities:
1. Provide comprehensive administrative support to the CEO and executive staff.
2. Manage complex calendars, prioritize meeting requests, and ensure seamless connectivity for remote participants.
3. Support Board of Directors and subcommittee meetings, earnings calls, and analyst/investment meetings.
4. Prepare and manage briefing materials, meeting agendas, and presentations.
5. Create and maintain meeting notes, reports, presentations, and pitch decks.
6. Proofread and edit documents for accuracy and professionalism.
7. Coordinate business travel for the executive team and manage expense reports.
8. Organize executive meetings, leadership team meetings, and key events.
9. Oversee daily operations of the executive office and maintain a clean, organized environment.
10. Manage relationships with facilities vendors and maintain office supplies.
11. Handle sensitive communications and complex problems with discretion.
12. Support administrative activities related to budgets, purchase orders, and invoices.
13. Assist with scheduling interviews and provide backup administrative support as needed.
Qualifications:
- Bachelor's degree in Business Administration, Life Sciences, or equivalent experience.
- Minimum 5 years of experience as an executive assistant, preferably in the Life Science Industry.
- Experience supporting C-level executives in a fast-paced startup environment.
- Advanced proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint).
- Exceptional organizational skills and attention to detail.
- Excellent oral and written communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong problem-solving skills and ability to work independently.
- Adaptability to changing priorities in a dynamic, growing company.
- Experience managing complex travel arrangements.
