Position Overview:
This is a dynamic opportunity to join a faced paced administrative team, working directly with our CEO. We are seeking an Executive Assistant to the CEO interested in business operations and looking for a long-term opportunity to grow within a company. This role will allow you to develop directly under our CEO, learning how she works and how the business functions. From day one you will be an integral part of the administrative team supporting calendar management, essential administrative tasks, operational project management, marketing initiatives and business development. The right person for this role has an interest in business operations, marketing, and/or the overall hospitality industry. They are a highly self-motivated, have strong attention to detail and are ready to jump in and create efficiency and value.

Reports to: CEO
Key Responsibilities:
- Act as first contact for those seeking the CEO & support overall effectiveness:
- Assist the CEO with general administrative functions internal communications, and task tracking
- Personal and professional calendar management and scheduling (domestic and international)
- Arrange personal and professional travel (domestic and international)
- Organize monthly companywide calls and presentations
- Interact with other executive committee members, vendors, and clients to support company goals and initiatives.
- Support and cover for other members of the administrative team as needed
- Assist in planning special events and support the execution of internal company projects:
- Annual Executive and Company Retreat
- Annual Industry Conferences
- Holiday Gift Program
- Special Projects as needed
- Data Entry:
- Support team members to ensure Salesforce is maintained and current (as requested)
- Keep internal filing systems organized and log information/documentation in correct place
- Marketing:
- Maintain CEO and COO bios for use in pitch materials
- Update Outlook Contacts (as requested)
- Assist in meeting planning for CEO’s attendance at industry conferences
- Edit and prepare internal and external presentation materials for CEO
- Maintain company marketing slide library
- Office Assistance:
- Maintain and update the Marketing and EA Manuals (as needed)
- Assist with loading and unloading kitchen dishes in the morning or evening (as needed)
- Organize and maintain the supply closet
- Support laptop shipments during employee onboarding and offboarding processes
- Other duties as required in the course of employment as Assistant to the CEO
- The position is performed in the Providence office.
Qualifications:
- BA or relevant experience in the hospitality industry, office admin or marketing arena
- 1-4 years’ experience
- 1-year minimum experience scheduling across multiple stakeholders
- Data entry/data validation capability
- Highly proficient in Outlook, Word and PowerPoint. Proficient in basic Excel
- Not required but Salesforce experience is a plus!
