Are you ready to embark on an exciting journey as an Executive Assistant to the dynamic Chief Executive Officer (CEO) and Chief Operating Officer (COO) of a leading organization? We're seeking a proactive and detail-oriented individual to join our team in Los Angeles. As the right-hand person to our executives, you'll play a pivotal role in ensuring the smooth operation of their schedules and contributing to the overall success of our company.
Responsibilities:
Calendar Management: Take charge of the CEO's and COO's calendars, ensuring they are optimized for productivity and efficiency.
Meeting Coordination: Organize and prepare for meetings, ensuring all necessary materials are ready and logistics are seamlessly arranged.
Collaboration: Work closely with other Executive Assistants and stakeholders to facilitate clear communication and coordination across departments.
Communication: Serve as a liaison between the executives and internal/external contacts, handling correspondence and inquiries with professionalism and discretion.
Documentation: Assist in drafting and editing official communications, reports, and presentations on behalf of the executives, ensuring accuracy and clarity.
Minute Taking: Record comprehensive meeting minutes and follow up on action items to ensure timely execution of tasks.
Compliance: Ensure all correspondence and documentation adhere to regulatory requirements and maintain confidentiality of sensitive information.
Support: Provide backup assistance to other Executive Assistants as needed to maintain continuity of administrative support.
Special Projects: Contribute to organizing and executing special events or projects as directed by the executives.
Relationship Building: Foster strong relationships with administrative professionals and stakeholders to promote a collaborative work environment.
Administrative Tasks: Manage office supplies, equipment, and other administrative duties as required.
Requirements:
Education: Bachelor's degree preferred; project management experience or certifications are advantageous.
Experience: Minimum of 3 years' experience in an Executive Assistant role or supporting C-suite executives in a fast-paced environment.
Industry Knowledge: Experience in healthcare or client services is a plus.
Skills: Proficient in Microsoft Office Suite and other relevant software.
