Job Description:
As an Executive Assistant, you'll play a critical role in our organization, facilitating seamless communication and collaboration among our CEO, leadership team, and departments. This position requires someone with demonstrated leadership experience and a track record of providing executive-level advice while fostering interdepartmental cooperation. You will be responsible for booking travel reservations, transportation, and coordinating calendars. Essential Functions:
Direct Support of the Chief Executive Office
- Setting a leader's strategic priorities: Helping a leader identify the areas where they must direct their focus and identifying metrics for success. Revisiting regularly and evaluating progress.
- Strategically managing a leader's time: working with other departments, booking, and maintaining calendar, evaluating opportunities and determining fit with priorities. Prioritizing the most sensitive matters.
- Meeting preparation and follow up: reviewing upcoming meetings for the week to ensure the leader has the information needed to be as productive as possible and sending out agendas or documents to meeting attendees, as necessary.
- Review Internal and External Communications
- Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.
- Produce meeting minutes for all meetings and distribute them to participants
- Monitoring information flow: somethings acting as a gatekeeper, ensuring the CEO's involvement in a project or decision-making process at the right moment.
- Strategic partner for the CEO to include internal and external communications, operational support and interacting with other executives.
- Working with the CEO and other senior and executive leadership members on special projects
- Providing administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the executive's behalf
- Maintaining comprehensive and accurate reports
- Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
Minimum Qualifications:
- AA Degree or equivalent experience
- At least 3 years of Customer Service experience
- Proven experience as an Office Administrator or similar leadership position
- Familiarity with office management procedures
Skills:
- Must be able to handle multiple projects and be self-motivated
- Must be able to demonstrate the ability to maintain a high level of confidentiality
- Must have excellent written and oral communication skills as well as the ability to interact and communicate effectively with leadership
- Must have excellent organizational and time management skills
- Must have experience with computer software: Microsoft Office (the use of Paycom, BOX, and G-Suite is a plus)
Travel Requirement: Must have reliable transportation to support all operating companies located throughout Maryland (Baltimore City, Frederick County, PG County, Washington County). Travel between sites may be required.
