We are currently seeking a highly motivated, experienced and dedicated Permanent Executive Assistant to join our thriving Mortgage industry team. This is a unique opportunity to work in a fast-paced, challenging, and rewarding environment. The successful candidate will have the opportunity to work with a dynamic team of professionals who pride themselves on their high standards of work and commitment to providing excellent service to our clients.
Responsibilities:
As a Permanent Executive Assistant, your primary responsibilities will include:
1. Providing comprehensive administrative support to the Executive team, including managing calendars, scheduling meetings, preparing reports, handling correspondence, and coordinating travel arrangements.
2. Assisting with the preparation and review of mortgage loan documents, ensuring all paperwork is accurate and complete.
3. Managing and maintaining client databases, ensuring all information is up-to-date and accurate.
4. Liaising with clients, lenders, and other stakeholders, providing excellent customer service and resolving any issues or concerns in a timely and professional manner.
5. Assisting with the development and implementation of office policies and procedures, ensuring all operations run smoothly and efficiently.
6. Participating in team meetings and contributing to strategic planning and decision-making processes.
7. Staying current on industry trends and regulations, ensuring the company remains compliant and competitive.
Qualifications:
To be considered for this exciting opportunity, candidates must possess the following:
1. A minimum of 2 years of experience as an Executive Assistant, ideally within the Mortgage or Real Estate industry.
2. A strong understanding of the Mortgage industry, including knowledge of loan processing, underwriting, and closing procedures.
3. Exceptional organizational skills, with the ability to manage multiple tasks, prioritize effectively, and meet tight deadlines.
4. Excellent communication skills, both written and verbal, with the ability to liaise effectively with clients, lenders, and other stakeholders.
5. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and other relevant software.
6. A proactive approach, with the ability to anticipate the needs of the Executive team and take initiative to solve problems.
7. A high level of professionalism and discretion, with the ability to handle confidential information with utmost sensitivity.
8. A Bachelor's degree in Business Administration, Real Estate, or a related field is preferred.
9. Experience in a brokerage environment will be considered an asset.
