This will be an hourly position and the hiring range is $28.85/hour to $40/hour, commensurate with education and experience.
The Senior Executive Administrative Assistant will be responsible for performing an array of administrative functions requiring confidentiality, initiative and sound decision making for the Directors of Clinic Operations. Will provide high-level administrative support by means of excellent calendar management, periodically providing research, preparing reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, travel arrangements, and scheduling meetings. Will partner with other assistants within the Clinic.
ESSENTIAL FUNCTIONS and RESPONSIBILITIES:
- Represents the Directors to all levels of staff, providers, directors, managers, outside agencies and the community.
- Advises and assists on a full range of complex administrative and business matters related to the organizations programs and activities; provides analysis and advice regarding long-term effect of policy changes.
- Performs office management duties; directs the workflow, and supervises the processing of administrative paperwork and maintenance of files.
- Ability to interact with staff at all levels in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism is crucial to this role.
- Handle the administrative and executive support related tasks with minimal supervision.
- Performs office management duties; directs the workflow, and supervises the processing of administrative paperwork and maintenance of files.
- Responsible for administrative reports, records and correspondence that may be complex or sensitive
SKILLS AND ABILITIES:
- Ability to maintain confidentiality at all times.
- Strong collaborative and relationship management skills and ability to liaison with multiple business partners at all levels.
- Ability to work independently and anticipate the needs of the executive(s) and the business and turn them into actionable tasks
- Thorough knowledge of current business office practice using the rules of grammar, punctuation and the correct format for business letters and reports.
- Demonstrated skills in dealing effectively with people at all levels of an organization using tact and diplomacy.
- Demonstrated problem solving skills.
- Excellent verbal, written, and interpersonal communication skills.
- Demonstrated project management skills.
EDUCATION AND EXPERIENCE:
- Minimum of five years experience in an Executive Assistant role.
- Experience in calendar management.
- Experience in travel management, planning, and expense reporting.
- Strong working experience with Microsoft Word, Excel and PowerPoint, including table creation, mail merges and basic formatting
- Knowledge of general office procedures (e.g., filing, correspondence, scheduling)
Pay Range:
$59,643.00 - $89,466.00

Benefits-eligible employees accrue PTO and Personal Time based on hours worked and State worked, totaling 120 hours in the first year for full time staff and 200 hours in the first year for full time supervisors and above, increasing in subsequent years. PTO and Personal Time accruals are pro-rated by FTE/hours worked. Non-benefits eligible employees will accrue Personal Time based on hours worked and State worked.
