Job Details
We are seeking a dynamic and highly-organized Permanent Executive Assistant to join our team in the Manufacturing industry. This is an exciting opportunity to work closely with our executive team, providing crucial administrative support and contributing to the smooth running of our business operations. The ideal candidate will be a detail-oriented professional with a knack for multitasking, excellent communication skills, and a keen eye for detail.
Responsibilities:
As an Executive Assistant, you will:
1. Provide comprehensive administrative support to the executive team, including managing calendars, scheduling meetings, and coordinating travel arrangements.
2. Utilize MS Office Suite and QuickBooks to prepare reports, presentations, and financial data.
3. Manage and maintain an efficient filing system, ensuring confidentiality and privacy of sensitive information.
4. Assist in project management, including planning, executing, and monitoring projects to ensure they are completed in a timely manner.
5. Coordinate and attend meetings, prepare agendas, and take detailed minutes.
6. Handle office management duties, including ordering supplies, liaising with vendors, and maintaining a clean and organized workspace.
7. Assist with bookkeeping tasks, including managing invoices, tracking expenses, and preparing financial reports.
8. Perform other duties as assigned, demonstrating flexibility and adaptability in a fast-paced environment.
Qualifications:
To be successful in this role, you will need:
1. A minimum of 2 years of experience in an executive assistant role or similar, preferably within the Manufacturing industry.
2. Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and Quickbooks.
3. Strong organizational skills with the ability to multitask, prioritize, and manage time effectively.
4. Excellent communication skills, both verbal and written.
5. High level of discretion and confidentiality.
6. Strong problem-solving skills and the ability to work under pressure.
7. Experience in project management and meeting coordination.
8. Experience in managing office operations and bookkeeping tasks.
9. Ability to work independently and as part of a team.
10. Bachelor's degree in Business Administration or related field is preferred.
