We are seeking a dynamic and highly organized individual to join our team as an Executive Assistant / Project Manager in a growing organization in San Clemente. This role is an exciting opportunity to work with a diverse team and play a crucial part in the successful execution of projects. The ideal candidate will have a strong background in managing complex projects, creating engaging presentations, and analyzing reports. This position requires a self-starter with exceptional communication skills, a high sense of urgency, and the ability to prioritize tasks effectively.
The ideal Executive Assistant is someone who has a very strong business acumen as 75% of this role is project management and prioritizing projects for the leaders of the business. This person must also be extremely tech savvy and able to pivot to various softwares, including ChatGPT. The organization only uses Apple products, so someone comfortable with Apple products is also important. The Executive Assistant is supporting key leaders in the company including the Senior Vice President who is running their fastest growing division. He needs a number two who can help him stay organized and efficient in running his daily business. This role will be in the office most days but is also very flexible for the perfect person. This is an amazing organization and this is a crucial role for the team!

Job Details
Responsibilities:
1. Provide executive-level administrative support to the team, including scheduling, travel arrangements, and correspondence.
2. Develop and manage project plans, including defining project scope, goals, and deliverables that support business objectives.
3. Create and deliver engaging presentations to communicate project progress, results, and insights to stakeholders.
4. Analyze reports and data to identify trends, potential issues, and opportunities for improvement.
5. Prioritize tasks and projects based on business needs, resources, and deadlines.
6. Lead special projects as assigned, ensuring they are completed on time and within budget.
7. Establish and maintain effective relationships with internal and external stakeholders.
8. Act as a liaison between various departments to ensure clear communication and successful project completion.
9. Handle sensitive information with a high degree of discretion and confidentiality.
Qualifications:
1. Bachelor's degree in Business Administration, Project Management, or related field.
2. Minimum of 5 years of experience in a similar role, preferably within the Manufacturing industry.
3. Proven experience in creating compelling presentations and analyzing complex reports.
4. Exceptional communication skills, both written and verbal.
5. Demonstrated ability to prioritize tasks effectively and manage multiple projects simultaneously.
6. Strong sense of urgency and commitment to achieving results.
7. Experience in leading special projects and working with diverse teams.
8. Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Project.
9. Excellent problem-solving skills and attention to detail.
10. Ability to handle confidential information with discretion.
11. PMP certification is a plus.
