Executive Assistant - Addison Group

Position: Executive Assistant to C-Suite Executive

Location: San Antonio, Texas (on site position)

Salary: $75,000 - $85,000 annually

Overview:

We are seeking a highly skilled and proactive Executive Assistant to provide exceptional support to a C-Suite executive. The ideal candidate will have a minimum of 5 years of experience working in high-level executive support, showcasing strong organizational, communication, and problem-solving skills. This role requires the ability to anticipate needs, manage confidential information, and thrive in a fast-paced environment.

Key Responsibilities:

• Manage the executive’s complex calendar, scheduling meetings, appointments, and travel arrangements (domestic and international).
• Prepare high-quality correspondence, reports, and presentations for internal and external stakeholders.
• Coordinate and organize meetings, including creating agendas, compiling materials, and taking detailed minutes with action items.
• Serve as a liaison between the executive and internal/external stakeholders, ensuring clear communication and follow-up.
• Handle confidential information with discretion and professionalism.
• Oversee administrative tasks such as expense reports, vendor management, and office supply orders.
• Proactively manage priorities and deadlines, ensuring the executive’s day runs smoothly.
• Assist in planning and executing events, board meetings, and special projects.
• Provide personal assistance to the executive as needed, including managing personal appointments and errands.

Qualifications:

• Minimum of 5 years of experience supporting C-Suite executives or senior leadership.
• Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant tools (e.g., Concur, Zoom, DocuSign).
• Exceptional organizational and multitasking skills with a keen eye for detail.
• Ability to communicate effectively and professionally, both verbally and in writing.
• Proven ability to handle confidential information with integrity and discretion.
• Highly adaptable, with the ability to prioritize and respond quickly in a dynamic environment.
• Bachelor’s degree preferred but not required; relevant certifications are a plus.

Compensation & Benefits:

• Competitive salary up to $85,000 annually.
