Are you an experienced and highly organized Executive Assistant seeking a new challenge? We are looking for a talented individual to join our team and provide exceptional support to our executive leadership.
In this critical role, you will have the opportunity to make a significant impact by ensuring the smooth operation of our executive's daily activities. With your exceptional organizational skills, attention to detail, and proactive approach, you will play a vital role in managing calendars, arranging travel logistics, facilitating meetings, and handling various administrative tasks.
Key Responsibilities:
- Effectively manage and organize the executive's calendar, overseeing the scheduling of corporate meetings, weekly check-ins with employees, travel arrangements, and coordination of professional and personal events.
- Arrange travel logistics, including flights, hotel accommodations, rental cars, restaurant reservations, and site tours.
- Facilitate onsite meetings, handling all aspects from scheduling and sending reminders to ordering catering, greeting guests, and managing follow-up tasks.
- Draft and/or edit speaking points, documents, and presentations.
- Establish and maintain shared task boards with the executive, ensuring tasks are appropriately prioritized, deadlines are monitored, and assignments are completed with excellence.
- Handle the organization, sorting, and distribution of mailed correspondence.
- Efficiently manage the executive's inbox, identifying emails requiring immediate attention, responding on behalf of the executive when necessary, managing archive folders, and adhering to cyber risk prevention best practices.
- Coordinate document signing and manage the delivery of signed documents to relevant parties.
- Track and submit credit card expenses, ensuring accurate monthly coding.
- Review submissions, letters, agendas, and memos, determining their importance and managing them accordingly.
- Exercise discretion in managing confidential and sensitive information/documents.
- Maintain a secure database of usernames and passwords.
Qualifications:
- 5+ years of experience providing direct executive-level support in a fast-paced environment.
- Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent written and verbal communication skills, with a professional demeanor.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
- Strong problem-solving and decision-making abilities, with a proactive approach.
- Ability to handle confidential information with discretion and maintain a high level of integrity.
We offer a competitive compensation package, including a salary range of $75,000 - $95,000, and a hybrid work schedule (Wednesdays are remote) after the initial training period.
