Position Summary
We are seeking an exceptional Executive Administrative Assistant to support our key executives with scheduling, organization, and administrative tasks. This role requires a dedicated professional who will serve as the right-hand person to the Chief Executive Officer and provide support to the executive leadership team. In this capacity, you will filter and attend to the day-to-day functions, allowing the executives to focus on high-level leadership and strategy. The dynamic nature of this role demands exemplary time management skills and the ability to anticipate the CEO's needs while balancing support for the leadership team as needed. You will interact seamlessly and with a professional demeanor across all levels of the organization. This position requires handling highly sensitive and confidential information while exercising professionalism and discretion. Responsibilities include monthly reporting, office administration, and assisting with special projects as assigned. Daily onsite presence in our corporate office is required.
Core Responsibilities
- Serve as the right-hand person to the CEO and executive leadership team, operating with a high degree of confidentiality and providing support as needed.
- Manage and maintain the executives' calendars, arranging meetings and coordinating appointments.
- Coordinate detailed multi-person domestic and international travel arrangements.
- Create and update expense reports, ensuring accuracy and validity of information.
- Organize and prepare for meetings, including gathering documents, managing logistics, creating presentations, reports, and agenda materials. Attend meetings, take notes, and prepare minutes/summaries.
- Plan, manage, and orchestrate events ranging from small department meetings to company-wide events.
- Manage email communication and document organization on behalf of assigned executives.
- Perform a wide variety of office support duties, including printing, scanning, emailing, copying, filing, handling mail/packages, and composing routine correspondence.
- Support other departments or executives as needed.
Qualifications and Skills
- Bachelor's degree preferred; High School Diploma/GED required.
- 5+ years of proven work experience supporting a senior executive or team.
- Advanced proficiency in Microsoft Office applications, particularly PowerPoint, Word, Excel, and Outlook.
- Excellent phone skills and computer literacy.
- Exceptional verbal and written communication skills.
- Detail-oriented self-starter with sound judgment and ability to prioritize tasks.
- Energetic and eager to tackle new projects and ideas.
- Comfortable interacting with high-level executives.
- Resourceful can-do attitude and team player capable of cultivating productive working relationships.
- Exceptional writing, editing, and proofreading skills.
- Ability to take responsibility, multitask, and stay incredibly well-organized.
- Working knowledge of office equipment and procedures.
- Analytical and problem-solving aptitude.
- Dependable with a stable work history.
- Ability to flourish with minimal guidance, be proactive, and modify plans as necessary.
- Ability to maintain stability under pressure and be flexible.
- Ability to be a positive representative of the company, maintaining professionalism, integrity, and confidentiality.
- Willingness to complete all required training in a timely manner.
- Regular attendance at the worksite is essential.
