Position Summary:
Our organization is seeking a dynamic Executive Assistant to join our team and provide exceptional support to our C-level Executives and key team members. The ideal candidate will exhibit strong judgment in various situations, establish relationships with key stakeholders, and effectively manage multiple priorities daily. Reporting to the Executive Admin, this pivotal team member will collaborate with the Officer Manager in an administrative capacity, offering coverage and support as necessary. Essential qualities include outstanding organizational skills, excellent written and verbal communication, meticulous attention to detail, a positive can-do attitude, and the adaptability to navigate shifting priorities.
Responsibilities:
- Efficiently manage calendars, meetings, and schedules for multiple Executives, addressing scheduling conflicts and prioritizing tasks for optimal time management.
- Arrange intricate domestic and international travel plans for team members, coordinating flights, accommodations, ground transportation, and other necessary arrangements.
- Complete expense reports and reconcile credit card transactions utilizing Concur.
- Organize logistics for special events such as team meetings, conferences, workshops, and department outings.
- Maintain professional and timely communication with internal and external stakeholders.
- Facilitate team communication by gathering information, providing updates, and organizing priorities.
- Handle document preparation for Executives and maintain an orderly filing system.
- Demonstrate proactive problem-solving and troubleshooting abilities.
- Utilize interpersonal skills effectively and collaborate with colleagues.
- Apply comprehensive knowledge of company operations, policies, and procedures daily.
Minimum Requirements:
- Bachelor's degree or equivalent work experience.
- Prior experience supporting C-level Executives in the biotech/pharmaceutical sector is preferred.
- Strong communication skills with a background in high-growth, fast-paced startup environments.
- Ability to work independently, prioritize tasks, and function as a flexible team player.
- Proficient in office technology management and maintaining confidential records.
- Excellent organizational skills, adept at multitasking and resolving conflicts.
- Handle confidential information with integrity and discretion.
- Eagerness to learn new skills and identify opportunities for contribution.
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook).
- Comfortable collaborating with employees at all levels.
This role is hybrid, transitioning to 1-2 days remote and 3-4 days on-site once the new hire is acclimated. Local candidates are preferred.
