Executive Assistant to CEO
We are seeking an organized and tech-savvy Executive Assistant to support our CEO. In this role, you will be responsible for a wide range of tasks, including:
Responsibilities:
1. Calendar Management: Coordinate the CEO's business and personal appointments, ensuring efficient time management.
2. Travel Arrangements: Handle hotel, flight, and restaurant reservations for the CEO and other executives as needed.
3. Online Research: Conduct online research to gather information and support the CEO's decision-making processes.
4. Gift Coordination: Arrange for the purchase and delivery of gifts for clients, employees, and other stakeholders.
5. Event Planning and Coordination: Organize and coordinate business and personal events, such as conferences, meetings, and family gatherings.
6. Personal Errands: Assist the CEO with personal errands and tasks as required.
7. Vendor Coordination: Liaise with vendors related to the CEO's home office, including plumbers, florists, cleaning services, and others.
Requirements:
1. Responsibility and Organization: Possess a responsible and organized personality, with the ability to manage multiple tasks and priorities effectively.
2. Language Proficiency: Fluency in both Russian and English (written and spoken).
3. Strong Analytical Skills: Demonstrate exceptional analytical abilities to support decision-making processes.
4. Tech Savviness: Proficiency in using various software and tools, including Slack, Telegram, Zoom, and ChatGPT.
5. Project Management: Excellent project management skills, with the ability to manage multiple projects simultaneously while adhering to tight deadlines. Experience with project management tools (e.g., Asana, Trello) is a plus.
6. Communication Skills: Exceptional written and verbal communication skills, with the ability to communicate clearly and concisely with both internal and external stakeholders.
7. Decision-Making: Strong decision-making skills and the ability to operate with autonomy, using discretion when handling confidential matters.
8. Adaptability: Flexibility and adaptability to changing needs, priorities, and unforeseen circumstances, with the ability to work well under pressure.
9. Financial Acumen: Basic understanding of financial management principles to assist in budgeting, expense tracking, and invoice management.
Work Schedule: Monday to Friday, 10 AM to 7 PM (or 9 AM to 6 PM).
Work Mode: Combination of remote and on-site work (in parkland).
