Job Overview:
The Executive Assistant will play a crucial role in ensuring the smooth operation of the CEO’s office. This individual will manage the CEO’s calendar, coordinate meetings, develop office processes, and provide essential support to help our company thrive. We are looking for someone who is assertive, detail-oriented, and able to handle multiple tasks with a positive attitude. The ideal candidate should be comfortable navigating gray areas toward clarity, demonstrating flexibility and adaptability.
Note: This is a primarily remote position; however, the candidate must be located in the DMV area to support occasional in-person activities and ensure access to the CEO when needed.

Primary Responsibilities:
- Calendar Management: Manage the CEO’s schedule efficiently.
- Communication: Serve as the primary contact between the CEO and stakeholders.
- Meeting Coordination: Organize and prepare for meetings, including agendas and follow-up.
- Daily Operations: Assist with daily operations and task tracking.
- Office Support: Provide administrative support, including document preparation.
- Task Management: Prioritize and handle multiple assignments.
Secondary Responsibilities:
- Process Development: Implement office processes to improve efficiency.
- Problem-Solving: Proactively address and resolve issues.
- Project Management: Lead special projects using Jira for task tracking.
- Research and Development: Conduct research to refine processes.
- Recruitment and Onboarding: Assist with recruitment and onboarding processes.
Qualifications:
- Experienced: Minimum 4 yrs as an EA or similar role, with proven experience supporting a business/office.
- Tech Savvy: Proficient in using and adapting to new desktop applications and web-based tools essential for a tech company environment, including Google Workspace, Jira, and Slack. Must be comfortable using a Mac.
- Organizational Skills: Capable of managing multiple priorities and providing structured organization to enhance the productivity and efficiency of the CEO.
- Project Management: Demonstrates strong planning, prioritization, and problem-solving abilities to ensure smooth and effective operations, particularly in fast-paced and dynamic environments.
- Communication: Must have strong written and verbal communication abilities, with experience communicating effectively with external stakeholders, customers, and internal team members.
- Confidentiality: Ability to handle sensitive information with discretion.
- Independence: Self-motivated and able to work independently, comfortable working from both office and remote environments. This flexibility is crucial for maintaining productivity and adaptability in various work settings.
Preferred Qualifications:
- Experience working in a small business setting, contributing to the growth and maturation of company processes.
- Adept in workflow development and process optimization.
- Knowledge of procurement, hiring, and onboarding processes.
- Experience working within an IT-focused environment.
