What is the job
HII - Mission Technologies is looking for an Executive Assistant to join the team! Supporting the CTO office, this position will be based out of our Annapolis Junction, MD location. The HII CTO office team consists of approximately 25 personnel. This role will provide direct support to the Corporate CTO, Mission Technologies CTO, and their team.
Key Responsibilities:
+ Calendar maintenance and meeting coordination (internal/external) for CTO Community.
+ Travel planning, travel requests, pre-authorizations, and expense reporting.
+ CTO related Purchase Requests and Invoice Approvals.
+ Invoice Approvals, Timecard Approvals and Proxy time keeping oversight.
+ Set up for Weekly CTO meeting support and take action items for management.
+ File International Travel Requests.
+ Security compliance support and Send Visit Requests for required meeting coordination.
+ Track CTO’s Paid Time Off. Corporate CTO administration support, (Briefing edits/ Event Planning).
+ Order lunches for meetings.
+ Meeting and event coordination.
+ Trade show planning and booth support to key CTO trade events.
What you need to have:
+ 6 years relevant experience with Bachelors in related field; 4 years relevant experience with Masters in related field; or High School Diploma or equivalent and 10 years relevant experience.
+ Expertise in administrative tools, including advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
+ Exceptional verbal and written communication skills, with experience interacting with senior executives across HII and external stakeholders.
+ Outstanding organizational and time-management skills, with the ability to handle multiple priorities seamlessly.
+ Demonstrated ability to act as a trusted advisor to senior leadership and exercise discretion regarding sensitive information.
+ Strong leadership skills, with a demonstrated ability to supervise and develop a team while advancing the culture of the organization.
+ Proven experience supporting C-suite executives or senior leadership in a fast-paced technical environment.
+ Ability to Obtain Security Clearance.
Bonus points for:
+ Knowledge of national defense market, company corporate policies and procedures, as well as an understanding of government contracting or other relevant industry experience.
+ Experience with budget management, project scheduling, and statistical analysis.
+ Familiarity with managing cross-functional projects or initiatives.
+ Experience supporting and creating technical presentations and white papers.
