DoveLewis Veterinary Emergency and Specialty Hospital is hiring an Executive Assistant to join our team and support our President and Chief Executive Officer and our Board of Directors!
DoveLewis is one of the country's largest single-location veterinary hospitals. As a non-profit with no private equity or corporate investors, we have built a collaborative community that is dedicated to serving every animal and every person who cares for them, including our staff!
DoveLewis is also an AHAA-accredited, VECCS Level 1 Emergency and Specialty Hospital. With a team of 200+ people, including 13+ veterinary specialists and 6+ veterinary technician specialists, we have been providing world-class care for over 50 years.
About this Position:
As the Executive Assistant, you will be responsible for administrative support to the President and Chief Executive Officer (CEO). This includes planning, budgeting, scheduling, overseeing, and documenting all aspects of specific projects throughout DoveLewis, as well as supporting the CEO by scheduling and preparing meetings, preparing correspondence, producing corporate documents, preparing presentation material, preparing reports, making travel arrangements, budgeting, and doing general office duties. This position also supports the Board of Directors in preparation of meetings, transcribing Board minutes, and preparing Board material packets.
Wage Range: $26-$32/hr depending on education, certifications, and experience.
Location: This position works primarily on-site at our hospital in NW Portland, Oregon with the ability to work remotely up to 2 days per week on average.

You have experience creating and managing executive schedules. You are highly organized with a keen attention to detail. You are good at working independently but also enjoy collaboration with a larger team and understand how to diplomatically navigate working with people at all levels of an organization.
A genuine love of and respect for all animals is required, as is an appreciation of the human-animal bond.
Education and Experience
- 5+ year of experience with executive support.
- 5+ years of experience providing administrative support in a professional environment or equivalent.
- Experience using and comfort learning various admin, scheduling, and practice management software. Some of our preferred software includes:
- Microsoft Office - especially Word, Outlook, Teams, Excel
- Asana
- We understand software preferences vary widely across different organizations, similar experience in other platforms will absolutely be considered.
- Experience being self-driven and making decisions independently throughout the workday.
- High school diploma or equivalent
- Any suitably equivalent combination of experience or education may substitute for the above.
Desired Knowledge, Skills, and Abilities
- Solid organizational skills including attention to detail and multi-tasking
- Strong time management, strategic planning, decision making, and analytical skills.
- Ability to gather, create, analyze, and summarize data for reports and spreadsheets.
- Excellent verbal and written communication skills.
- Ability to work both independently and as a part of a team.
- Knowledge of working with high level executives in a professional, fast-paced environment and ability to interact and communicate with individuals at all levels of the organization.
- High level of interpersonal skills to handle sensitive and confidential situations appropriately. Position continually requires demonstrated poise, tact and diplomacy.
- High proficiency in a variety of computer software applications to include Outlook, Word, Excel, Access, PowerPoint and Project.
- Ability to maintain organized files.
- Working knowledge of secretarial and office administrative procedures and ability to find solutions to various administrative problems.
- Knowledge of use and operation of standard office equipment.
