Position Overview:
We are currently seeking an Executive Assistant to support our senior leadership team. The ideal candidate will be a proactive, responsible professional with outstanding communication skills and a keen eye for detail. This individual will provide high-level administrative support to the CEO and other members of the Executive Management Team, handling day-to-day tasks, document management, and communication with C-Suite clients. Familiarity with HubSpot is essential, and experience in a sales-driven environment focused on compliance is advantageous.
Objectives of the Role:
- Support the CEO with all day-to-day tasks, including professional and personal scheduling and communications, while assisting the Executive Management Team as needed.
- Take and manage meeting minutes, ensuring follow-up on all action items.
- Collaborate with the CAO to prioritize document management for ISO compliance and timely dissemination of key information across departments.
- Work alongside the CEO to deliver professional, accurate, and timely responses to clients, contributing to the development of this new role within the organization.
Essential Responsibilities:
- Prepare agendas and arrange logistics for committee, board, and other meetings.
- Take detailed notes during meetings, distribute them, and follow up on action items.
- Communicate with existing and prospective clients via email and phone promptly.
- Provide overall administrative support, including answering calls, composing emails, filing, and updating contact information.
- Manage corporate documents, records, and reports; monitor, update, and oversee all client documents and agreements.
- Assist the CEO in preparing presentations and following up on scheduled reports.
- Ensure compliance with ISO certification requirements regarding document management.
- Create and update sales materials using PowerPoint, Word, and Excel.
- Post updates on social media platforms such as Facebook, LinkedIn, and the company blog.
- Collaborate with cross-functional teams to draft project schedules and plans.
- Ensure consistent application and accurate representation of the corporate brand across all communications.
- Perform other reasonable duties as requested.
Essential Skills/Experience:
The successful candidate will possess the following qualifications:
- Strong written and verbal communication skills for preparing internal and external communications.
- A minimum of five years of experience as an executive assistant or in a comparable high-level administrative position.
- At least two years of advanced proficiency in Microsoft 365 applications, including Teams, PowerPoint, Excel, Word, and Outlook.
- Familiarity with HubSpot for database management and sales CRM.
- An understanding of ISO certification requirements for document management is helpful.

Required Credentials, Education, and Certifications:
- A Bachelor's degree is preferred, or equivalent experience in a related field.
- Knowledge of HubSpot is essential.

- $55K - $75K per year full-time, exempt
