Under the direction of the Senior Executive Assistant, provides comprehensive support to the C-Suite, Executive Management Team, Board of Directors and Audit Committee. Provides strategic and advisory assistance to ensure that the President’s office and executive office operations are handled in the most efficient and effective manner. Serves as the primary point of contact for internal and external members on matters pertaining to the Senior Executive office, including those of a highly confidential or critical nature, and responds to them as necessary. Prepares, edits, and maintains vital management, board and other regulatory documents. This position will be splitting time between the Downtown Corporate Office and East Orlando Support Center and will report to other locations as needed. Compensation for this role starts at $56,000/year.
What would I be doing in this role?
- Provides high-level executive administrative support and proactively identifies, anticipates, and fulfills the needs of the C-Suite, executive and senior management team members, board of directors, and audit committee.
- Manages and maintains calendars and schedules, of Executive team.
- Assists in planning, coordinating, and executing all board of directors activities, including preparing materials, arranging logistics, and facilitating communication. Acts as the primary point of contact for board and committee members.
- Coordinates and manages critical events, including planning meetings, conferences, and other functions for senior management, and the board of directors. Assists in arranging corporate travel and lodging, and travel logistics for management team members, crew, and volunteers.
- Creates and prepares board and committee minutes, board reports, board planning booklets, and other documents as requested. Reviews, researches, responds to, and archives mail, email, and verbal correspondence directed to senior management and the board of directors generated from federal and state regulatory agencies and companies.
- Assists in preparing, maintaining, and ensuring compliance of vital records and regulatory files for management and the credit union. Assists in updating and distributing credit union policies, governance, and applicable procedures.
- Serves as a liaison to Federal and State regulators and examiners. Researches and provides documentation as requested.
- Assists in administering the board portal, including the creation and updating of documents. Provides support to users.
- Coordinates service recovery issues and issues referred to senior management. Acts as the concierge, mediator, and member advocate in solving concerns.
- Manages and reconciles expense reports and travel budgets and assists with the reconciliation of the Administration Department, board of directors, and committee members.
- Serves as the backup to other executive assistants to ensure the smooth operation of the administrative department.
- Assists in the onboarding and offboarding of members of the Board of Directors and Audit Committee.
- Develops and maintains effective business contacts, vendors, and service providers.
- Prepares and distributes employee information as delegated.
- Works on special projects and research as assigned by senior management team.
- All other duties as assigned.
