Executive Assistant - Office Manager - Ozinga

The Executive Assistant – Office Manager provides upper-level administrative support to the high-level executive leadership and upper management. This role performs clerical tasks including calendar management, PowerPoint preparation, office food & supply ordering, meeting preparation, travel logistics, expense reporting, and management of overall office function. The Executive Assistant – Office Manager also provides support by handling information requests, preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings for executive functions. 

Principal Duties and Responsibilities:

Administrative Responsibilities: 

• Communicate in a highly effective and professional manner 
• Plan meetings and manage schedules 
• Maintain healthy and positive relationships with vendors in a manner that matches the company vision and brand 
• Make business travel arrangement 
• Process and submit expenses 
• Create presentations as needed 

Management Responsibilities: 

• Manage administrative budget process for corporate office and training room 
• Maintain office services by organizing office operations and procedures and reviewing and approving supply requisitions and assigning and monitoring clerical functions 

Global Responsibilities: 

• Regular attendance and physical presence at work is an essential function of this position 
• This job may require additional duties not listed above and the employee may be asked to perform those duties to meet business needs 

Qualifications:

Education/Specialized Knowledge/Professional Certifications: 

• High School Diploma or equivalent required 
• College degree or equivalent experience required 

Experience: 

• 5 years relevant experience preferred 

Skills/Abilities: 

• Excellent interpersonal and customer service skills 
• Proficiency with Microsoft Office programs 

Working Conditions:

• Operates within a professional office environment 
• Routine usage of standard office equipment such as computers, phones, photocopiers and filing cabinets 
• Work occasional weekend or evening when events are necessary 

Physical Requirements:

• Regularly required to talk or hear; frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms 
• Occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl 
• Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus
