About the Job
The Executive Assistant to the Chief Operating Officer (COO) and President provides high-level administrative support to ensure the efficient and smooth operation of the executive office. This role requires a proactive, organized, and highly professional individual who can manage a variety of tasks and responsibilities, often in high-pressure and time-sensitive situations. The ideal candidate will have exceptional communication skills, strong organizational abilities, and experience working with senior-level executives.
Responsibilities
- Executive support - manage schedules, handle confidential information, generate charter agreements, meeting and event coordination
- Communications and correspondence - responding to emails and document requests on behalf of executives, maintain company website, handle phones
- Research and reporting - gather information on various topics as requested, prepare reports and presentations
- Office Management - manage and maintain office supplies for executive team, work closely with HR and IT ensuring smooth daily operations
Qualifications
- Bachelor’s degree in Business Administration, Communications, or a related field
- Minimum of 5 years of experience as an Executive Assistant, preferably in a corporate or fast-paced environment. Experience in the aviation world a plus. Experience working with senior-level executives
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with collaboration tools (e.g., Zoom, Slack, project management software)
- Ability to maintain confidentiality and exercise discretion
- Strong attention to detail and problem-solving abilities
- Experience in managing multiple priorities, administrative coordination, and logistics
- Well-organized, detail-oriented, ability to multi-task with great follow-up skills
- Strong written and verbal communication skills
