Executive Assistant

This university center collaborates extensively with global health organizations and participates in numerous international studies and alliances aimed at preventing pandemics and addressing complex health issues. The Executive Assistant plays a crucial role in supporting the Director and department by providing executive-level assistance in day-to-day operations.

Must Haves:
- Bachelor’s degree or the equivalent in education, training and experience
- 2+ years of related experience
- Microsoft Office and IOS applications
- Experience in a higher education institution
- Master’s degree and/or its equivalent in public health
- Experience supporting C-suite executives
- Proficiency in Photoshop
- High-level proficiency in PowerPoint

Key responsibilities include:
- Managing the Director's calendar and coordinating travel arrangements.
- Collaborating with NIH, WHO, and other agencies on travel logistics.
- Maintaining and updating presentation decks, ensuring timely submission of materials.
- Organizing internal and external meetings, including logistics and registrations.
- Handling travel scheduling and media interview requests.
- Maintaining the internal website and updating faculty profiles.
- Processing expense reimbursements.
- Assisting with pre-award funding proposals and manuscript submissions.
- Updating and maintaining the Director’s CV and NIH biosketch.
- Supporting departmental events and managing special projects.
