About the Job
A Private Equity Investment Firm is looking for an Executive Assistant to join and support their team. The ideal individual for this opportunity will have a combination of administrative experience and strong skills in calendar management, travel scheduling, communication, and organization.
Responsibilities:
- Arrange, confirm, and manage detailed calendars; schedule complex meetings ensuring punctuality
- Facilitate meetings within and outside the department, ensuring all parties are informed of any changes
- Act as a liaison for all staff levels, clients, and the public, managing visits and inquiries with diplomacy
- Organize international and domestic travel, including flights, hotels, and travel documents
- Prioritize emails, maintain contacts, and handle routine correspondence on behalf of the team
- Book reservations, arrange transportation, and handle catering for events
- Maintain files, manage photocopying, scanning, prepare expense reports, and other ad-hoc administrative tasks
Qualifications:
- 4+ years of administrative experience
- Excellent calendar management skills, including coordination of meetings/calls/events
- Experience scheduling domestic and international travel
- Microsoft Office proficient
- Solid problem solving and time management skills
- Exceptional phone etiquette
- Great interpersonal skills
- Excellent communication skills (written and verbal)
- Strong attention to detail
- Highly organized
