Title: Executive Assistant
Location: NYC
Remote/Hybrid/Onsite: ONSITE
Position Type: Contract, possible temp-to-perm
Duration: 6+ months
Rate: $28.00 - $30.00/hr
RESPONSIBILITIES:
Provide comprehensive administrative support to executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Serve as the primary point of contact for external stakeholders, media contacts, and other executives, maintaining professionalism and discretion in all interactions.
Assist in general office duties, such as answering phones, managing correspondence, and organizing files, while deferring significant decision-making to management.
Handle confidential and sensitive information with the utmost discretion, ensuring compliance with privacy regulations and company policies.
Demonstrate initiative and independence in managing tasks, proactively identifying opportunities to streamline processes and improve efficiency.
Learn quickly and adapt to new responsibilities and tasks, engaging in detailed tasks with accuracy and attention to detail.
Maintain flexibility in duties and availability, accommodating the dynamic needs of the executives and office environment.
Collaborate with internal teams and departments as needed to support business objectives and initiatives.
Utilize Concur for travel and expense management, ensuring accurate and timely processing of travel-related expenses.
Additional responsibilities may include supporting executives with external-facing brands, managing media interactions, and coordinating public appearances or events.
QUALIFICATIONS:
- Minimum of 7 years of experience in an Executive or Administrative Assistant role
- Being able to multi-task in a fast-paced environment
- Experience in calendar management
- Strong working experience with Microsoft Word, Excel and PowerPoint, including table creation, mail merges and basic formatting
- Knowledge of general office procedures (e.g., filing, correspondence, scheduling, expenses, calendar)
