Client Overview:
Our client, a well known law firm provides essential support for a dynamic program aimed at promoting professional success within a legal or professional services environment. They are seeking an Executive Assistant with Legal experience. The position involves a variety of tasks across coaching, development, events, and program coordination, contributing to the overall value delivered through innovative resource development and network building.
Salary/Hourly Rate:
$40/hr
Position Overview:
This Executive Assistant role is responsible with administrative support, managing data and reporting, handling multiple systems and platforms, coordinating events and logistics, and assisting with ad hoc projects. The ideal candidate for the Executive Assistant role should demonstrate strong organizational skills, attention to detail, a positive attitude, and a collaborative approach to working with various internal and external stakeholders.
Responsibilities of the Executive Assistant:
- Execute recurring projects with multiple steps that require attention to detail and adherence to processes
- Independently manage tasks and prioritize responsibilities while meeting deadlines
- Maintain a high level of accuracy and attention to detail in all aspects of the role
- Communicate effectively and professionally with internal and external stakeholders
- Thrive in a fast-paced and dynamic environment, with the ability to adapt and learn quickly
- Reporting: Assist in research, compiling, and distributing weekly reports. Maintain and update related databases and provide detailed information as requested
- Data Management: Create, update, and close out profiles in the system. Pull data reports and contribute to the creation of regular statistics
- General Support: Help schedule meetings, assist with marketing initiatives, and provide support to clients and coaches in managing their schedules and travel
- Event & Program Support: Assist with logistics, track expenses, organize event-related materials, and help manage program documentation
- Budget & Expenses: File and track team-related expenses and invoices
Qualifications for the Executive Assistant:
- Experience within legal/law firm
- Experience in a career development or professional services environment is preferred
- Strong organizational and communication skills, with the ability to multitask and prioritize in a fast-paced setting
- High attention to detail, resourcefulness, and a proactive approach
- Strong interpersonal skills and the ability to engage professionally with various stakeholders
- Ability to handle sensitive information with discretion
- Flexibility to work additional hours as needed
- Proficiency in MS Word, Excel, and PowerPoint. Familiarity with SharePoint is a plus
Education Requirements:
- Bachelor’s degree or equivalent experience, with at least one year of experience in a related field is required
