Job Description:
- We are seeking a highly skilled and experienced Executive Engineer with a proven track record in executive assistance.
- The ideal candidate will have a minimum of 5-7 years of relevant Executive Assistant experience, demonstrating exceptional organizational and communication skills.
- The primary focus of this role will be on travel and related expense processing, as well as calendar management for the executive team.
- Executive Assistance:Provide high-level administrative support to executives, ensuring efficient and effective day-to-day operations.Manage executives' calendars, schedule appointments, and coordinate meetings, both internal and external.
- Travel and Expense Management:Handle all aspects of travel arrangements, including booking flights, accommodations, and transportation.Process travel-related expenses promptly and accurately, adhering to company policies and guidelines.Track and reconcile expenses to ensure accurate reporting.
- Calendar Management:Maintain executives' calendars, prioritize appointments, and assist in time management to optimize productivity.Coordinate and schedule meetings, conference calls, and other business-related activities.
- Communication:Serve as a liaison between executives and internal/external stakeholders.Draft, proofread, and edit correspondence, reports, and presentations as needed.
- Notary License (optional):A Notary license is a plus, although not required.If applicable, provide notarial services as needed.
- Experience:Minimum of 5-7 years of relevant Executive Assistant experience.Proven track record of supporting executives in a fast-paced and dynamic environment.
- Organizational Skills:Strong organizational and multitasking abilities to manage complex calendars and travel arrangements.
- Communication:Excellent written and verbal communication skills.Ability to maintain confidentiality and handle sensitive information.
- Technology Proficiency:Proficient in office software, including calendar management tools and expense tracking systems.
- Adaptability:Ability to adapt to changing priorities and work well under pressure.
