Overview:
We are looking for a professional, personable and detail oriented Executive Personal Assistant to support our President. You must be able to confidently make decisions and work with a high degree of autonomy.

Responsibilities:- Efficient diary management, including regular monitoring of time-sensitive responses and/or deadlines which require follow-up.
- Full meeting management support, including arranging meetings, preparing agendas, collating and circulating papers, progressing actions, taking and circulating minutes.
- Proactive coordination of changing global travel arrangements – including visas, flight bookings and accommodation bookings.
- Producing and editing documents, briefing papers, reports and presentations.
- Screening telephone calls, emails, mail, enquiries and requests, and handling them on the Executive’s behalf.
- Professionally and courteously meeting and greeting visitors.
- Liaising with business acquaintances, suppliers and team members.
- Liaising with the Office Manager and/or Receptionist to book meeting rooms and arrange catering as required.
- Processing expenses, PO’s and dealing with accounting related issues on behalf of the Executives.
- You must have previous experience of providing dedicated PA support to a senior professional – preferably within the commercial department, always maintaining the strictest confidence.
- You possess the willingness and flexibility to be available for urgent requests out-of-hours and to 'muck in’ and carry out a variety of tasks as necessitated by a growing business.
- You’re confident and able to act as the gatekeeper to the President’s diary – pushing back on requests where required.
- This is a fast-paced and ever-changing environment. A high level of flexibility and adaptability is essential. You’ll need to have excellent organisational skills, impeccable attention to detail and the ability to manage your time efficiently.
- You’re computer literate. You have experience with Microsoft Office programs, including advanced Excel skills.
- You’re pro-active, dynamic and solutions-focused attitude and can remain calm under pressure when dealing with difficult situations or juggling tasks.
- Demonstrable experience of being sensitive to organizational opinions and issues and providing early warning to the President.
This position is paying $80,000 per annum.
