Executive Assistant
Small Boutique Tax Law Firm, is seeking a full-time Executive Assistant in New York City, NY 10017
About the Role:
This position is responsible for providing high-level administrative support in a fast-paced environment by handling information requests, executive’s email and performing clerical functions such as preparing correspondence, receiving clients, arranging conference calls and scheduling in person/Zoom meetings. This position may also train and supervise lower-level clerical staff.
Primary Responsibilities:
- Prepares memos, letters, and other documents, using word processing, spreadsheet, database, or presentation software.
- Answers all incoming and outgoing calls, maintains accurate logs and fields calls as needed to resolve questions clients may have. Needs to be gatekeeper and delve into responding and resolving all questions, schedules appointments, and prepare partner for meetings including managing his personal calendar.
- Manages the partner’s email account, respond to emails when able and make partner aware of any outstanding items.
- Assists with organizing tax files, address tax notices, and tax related projects as directed by managing partner
- Tracks all projects and make the partner aware of what needs to be accomplished and time lines for completion
- Greets clients and develop relationships so that clients feel comfortable and believe that their needs are being met
- Manages travel arrangements.
- Coordinate managing partners investment portfolio, complete subscriptions, file claims in class action lawsuits
- Perform various other duties as requested by the managing partner.
Qualifications
- Bachelor's Degree
- Minimum of 3+ years of relevant work experience with one or more C-Level Management Executives
- Tax or accounting office experience helpful but not required
Skills
- Excellent verbal and written communications skills
- Strong organizational and detailed skills
- Able to multi-task, and work independently
- Problem-solving and critical-thinking skills
- Proficiency in Microsoft Office Applications including Excel, PowerPoint, and Word
- Knowledge of QuickBooks helpful
Salary: $55,000.00 - $90,000.00 per year
