Client Overview:
Our client, a leading private equity firm in Manhattan, is seeking a seasoned Executive Assistant to provide high-level support to a dynamic team. Renowned for its prestigious Midtown office and collaborative culture, the firm values professionalism, adaptability, and operational excellence. This will be a critical role in supporting executives and ensuring smooth operations.
Salary/Hourly Rate:
$35 – $42/hr
Position Overview:
The Executive Assistant will support a high-performing team of Associates and Principals, ensuring smooth daily operations and providing essential administrative and logistical support. This Executive Assistant role involves managing complex schedules, coordinating travel, and ensuring operational efficiency in a fast-paced corporate environment.
Responsibilities of the Executive Assistant:
- Calendar Management & Scheduling: Efficiently manage schedules for 5 Associates and 2 Principals, arranging meetings, board sessions, and coordinating with external stakeholders
- Expense Reporting: Prepare and submit expense reports for senior team members, ensuring accuracy and timely processing through internal systems
- Travel Coordination: Organize complex travel arrangements, both domestic and international, including private travel logistics using tools like FlexJet
- Executive Team Support: Serve as a critical point of contact for the team, providing administrative support and ensuring efficient day-to-day operations
- Technology Utilization: Leverage systems like Concur and other internal tools to streamline workflows and maintain operational efficiency
Qualifications for the Executive Assistant:
- A minimum of 5 years of experience as an Executive Assistant, preferably within finance, private equity, or a corporate environment
- Demonstrated experience supporting senior-level executives with discretion and professionalism
- Strong organizational skills with the ability to manage competing priorities effectively
- Tech-savvy with proficiency in tools like Concur, Microsoft Office Suite, and internal scheduling systems
- Exceptional communication skills and a proactive, team-oriented mindset
Education Requirements:
- Associate’s or Bachelor’s degree is required
