Job DescriptionNBC News NOW is seeking an Executive Assistant to support two on-air talent. This position will serve as an administrative liaison communicating with internal NBCUniversal divisions as well as external businesses & creative community.
Responsibilities
- Create and maintain Talent daily schedules (including shows and teams) to plan meetings across the network
- Coordinate car service requests, travel itineraries and expense reports
- Prepare various correspondences, typically in fast-paced situations and under tight deadlines
- Handle telephone contact with all levels of internal and external executives, employees and vendors
- Assist Talent in preparation for events and projects, including preparing accurate note packets, and coordinating other needs as they arise
- Keep pulse on current events and potential stories to be highlighted
- Help with office supply orders, tasks, meeting room coordination and catering needs
- Facilitate events Talent is hosting, including coordinating with event organizers and making sure talent is prepared for the event (i.e. keeping track of itinerary, organize scripts, be the point of contact for Talent at the event, etc.)
- Coordinate Talent needs with production teams across various NBC Brands and assist with Talent logistical needs for shoots, scheduling fill in spots, following up with other slots for a fluctuating schedule
- Anticipate the needs of Talent, in an ever-changing, high-pressure, fast-paced environment, for example, utilizing
- Use judgment in handling inquiries from vendors, candidates, employees, and resolve concerns/issues as necessary
- Learn and engage with internal teams, downloading on operations, workflow and coordinating regular check-ins
- Bachelor’s degree or equivalent years of relevant work experience
- At least one year of news production and/or administrative experience
- Exceptional computer skills with proficiency in MS Office Suite
- Deep understanding/grasp of social media platforms
- Must be able to work overtime, nights, holidays and on weekends with short notice
- Must be willing to work in New York City

- Awareness of news cycle/breaking news, fluent in social media, native user, follow trends

- Required On-Site: This position is required to be performed full-time from an NBCUniversal-designated worksite.
This position is eligible for company sponsored benefits, including medical, dental and vision insurance, 401(k), paid leave, tuition reimbursement, and a variety of other discounts and perks.
