About the Job
The Executive Assistant position is a direct hire opportunity, with an onsite schedule.
Responsibilities:
- Providing sophisticated calendar management
- Prioritizing inquiries and requests
- Troubleshooting conflicts
- Scheduling internal and external meetings
- Setting up conference calls and video meetings as well as preparing meeting materials, and taking notes or minutes as needed.
- Scheduling and coordinating travel on both commercial and private flights
- Serving as the primary point of contact for internal and external constituencies on all matters pertaining to the senior executive.
- Working closely with the senior executive to keep them well informed of their schedules
- Anticipating executives’ needs in advance of meetings, conferences, etc.
- Managing all expenses for the senior executive
- Preparing communications
- Coordinating meetings and retreats, replenishing office materials such as snacks, printer supplies, paper, office supplies, etc.
- Providing hospitality to all guests
- Creating and maintaining filing systems
- Collecting and distributing mail and managing office supplies.
- Answering main phone line and responding to inquiries.
Qualifications:
- Bachelor's degree or equivalent work experience
- 3 - 5 years of experience in administrative support or project management roles.
- Skilled in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and has excellent typing skills.
- Expert level written and verbal communication skills.
