Position Overview
We are seeking a proactive and detail-oriented Executive Assistant to support our senior leadership team. In this key role, you will manage daily administrative functions, oversee project coordination, and serve as a liaison for internal and external stakeholders. The ideal candidate is highly organized, adaptable, and capable of managing multiple priorities in a fast-paced, dynamic environment. Key Responsibilities
1. Calendar & Schedule Management
- Coordinate and maintain the executive's calendar, arranging meetings, appointments, and travel plans.
- Anticipate and resolve scheduling conflicts.
- Ensure the executive is fully prepared for all meetings and engagements, providing necessary materials in advance.
2. Meeting & Event Coordination
- Organize meetings, conferences, and events, preparing agendas, materials, and presentations.
- Take detailed meeting minutes, track follow-up tasks, and ensure timely execution of action items.
- Arrange logistics for both internal and external meetings.
3. Project Management & Support
- Assist with special projects, including research, data analysis, and strategic initiatives.
- Track progress on key projects and provide regular updates to the executive.
- Manage delegated tasks from the executive and ensure project deadlines are met.
4. Document Preparation & Management
- Prepare, review, and edit high-level documents, reports, and presentations.
- Maintain confidential files and ensure documents are organized and easily accessible.
- Handle the preparation and submission of expense reports, budgets, and invoices.
5. Office Administration & Operations
- Oversee office operations, including supply management, vendor relations, and internal coordination.
- Monitor and process expenses, invoices, and financial reports.
- Serve as the primary point of contact for administrative matters, ensuring smooth day-to-day operations.
6. Stakeholder & Relationship Management
- Build and maintain strong relationships with internal teams, clients, and external partners.
- Represent the executive in a professional and courteous manner in all communications and interactions.
7. Confidentiality & Discretion
- Handle sensitive information with the highest level of discretion.
- Ensure compliance with company policies and data protection standards.
Qualifications
Education:
- Bachelor's degree in Business Administration, Management, or a related field (preferred but not required).
Experience:
- 3-5 years of experience as an Executive Assistant or similar role supporting senior executives, preferably in the finance or wealth management industry.
Skills & Competencies:
- Exceptional organizational and time management abilities.
- Strong written and verbal communication skills, with a keen attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to handle multiple priorities, meet tight deadlines, and work effectively under pressure.
- Strong problem-solving capabilities, with the ability to make decisions independently.

Compensation & Benefits
- Salary: $60,000 - $80,000 per year (commensurate with experience)
