Executive Assistant - Helpside

About the Job
We are looking for an Executive Assistant to perform a variety of administrative tasks and support our company’s senior-level managers. To be successful in this role, the ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention to details. Experience working in an office environment, performing administrative duties, and providing support to managers is a plus. Given the nature of the executive landscape, we rely on executive assistants to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.
Objectives
- Support the V.P. Finance primarily while also providing additional support to other executive team members, as directed, to ensure that company goals and objectives are achieved.
- Maintain and refine internal processes that support leadership.
- Plan and orchestrate work to ensure that senior leadership’s priorities are met, organization goals are achieved, and best practices are upheld.
Responsibilities
- Process timely state licensing renewals while working with various state government agencies to ensure compliance with licensing requirements
- Produce quarterly commissions reports and review them for accurate and complete information
- Process weekly general ledger updates
- Support the V.P. Finance primarily while also providing additional support to other executive team members, as directed, to ensure that company goals and objectives are achieved
- Perform clerical and administrative tasks including drafting letters, memos, reports, and other documents for senior staff
- Prepare quarterly payroll review package for external CPA firm and work with them to complete the agreed upon procedure
- Receives incoming communications on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff
- Performs accounting tasks and office tasks including maintaining records
- Performs additional duties as assigned by executives
- Trains other staff in the department on some responsibilities to provide necessary redundancy for critical tasks
- Provide notary public services as needed within the company
Skills and Qualifications
- Excellent verbal and communication skills
- Excellent organizational skills and attention to detail
- Excellent time management skills with a proven ability to meet deadlines
- Ability to function well in a high-aced and at times stressful environment
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems
- High proficiency in Microsoft Excel and Word with a working knowledge of other MS Office applications along with the ability to learn new or updated programs
- Discretion and confidentiality
- Licensed notary public
Education and Experience
- High school diploma required; Bachelor’s degree in Business Administration or related field preferred
- At least four years of experience with state licensing
- Accounting experience including working with third parties in an audit or review capacity
