Executive Assistant Position Overview:
We are seeking a discreet, detail-oriented Executive Assistant to support our Managing Shareholder (MS), Chief Operating Officer (COO), and Human Resources Manager (HR Manager). This role is pivotal in ensuring the seamless management of administrative responsibilities while providing high-level support to our key executives. As the Executive Assistant, you will serve as the MS’s “right-hand person,” managing schedules, coordinating complex tasks, and supporting key executives. Your proactive and professional approach will help maintain efficiency and excellence in a fast-paced environment.
Key Responsibilities:
- Act as the primary point of contact for the MS and COO, managing calendars, scheduling meetings, and prioritizing access.
- Provide administrative support to the HR Manager, including assistance with payroll, interviews, and meeting coordination.
- Draft and manage professional communications on behalf of the MS.
- Coordinate intricate schedules, oversee deadlines, and manage travel arrangements, budgets, and expense reports for the MS.
- Maintain secure files and oversee administrative tasks related to 401(k) plan administration.
- Notify the MS of key dates and draft messages to foster firm culture and engagement.
- Prepare agendas, materials, and summaries for events, meetings, and governance-related tasks, including recording meeting minutes.
Qualifications:
- Proven experience in an executive support role with demonstrated leadership capabilities.
- Exceptional organizational, analytical, and communication skills.
- Advanced proficiency in Microsoft Office Suite, with the ability to learn new systems quickly.
- Strong judgment and discretion in handling confidential and time-sensitive information.
- Professional, adaptable, and highly motivated, with a proactive and solution-oriented mindset.
- Ability to prioritize competing demands and anticipate the needs of executives.
- Composure under pressure, with a track record of managing responsibilities effectively in a fast-paced environment.
- Law firm experience a plus!
