SUMMARY:
Serves as Executive Assistant to the President/CEO and performs a wide variety of executive administrative responsibilities, including assisting Senior Leaders, Board of Directors and other teams in the Credit Union as necessary.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Assists the President/CEO in all aspects, including scheduling and calendar management, internal and external communications, preparation of reports and/or presentations as needed, often with the assistance of other team members.
- Assists the President/CEO in Board-related matters, including scheduling meetings, preparation of the monthly electronic board report, recording regulatory and policy updates, eBoardroom calendar entries, and generally assisting Board members in their role as policymakers.
- Attends and records minutes at meetings as needed and directed, including monthly evening board meetings.
- Organizes the production and distribution of correspondence for President/CEO, Senior Leaders and Board of Directors. Prepares routine correspondence for signature of appropriate executive or official. Ensures appropriate copies of correspondence or other printed matter are made and filed for easy retrieval when needed.
- Schedules appointments and reserves meeting rooms for President/CEO and Senior Leaders, ensures that all the details surrounding events, such as room set-up, technology and security, are in place.
- Arranges lunches, dinners, other catering and/or events as needed, coordinating with Continental as appropriate.
- Manages and reviews responses for formal member complaints.
- Arranges travel schedules and reservations for President/CEO, Senior Leaders, Board Members, and other team members as needed; reconciles monthly corporate credit card statements.
- Represents the President/CEO at public events and speaks publicly on behalf of the President/CEO as needed.
- Oversees activities in executive areas such as the Boardroom, Boardroom Kitchen, Corporate Library, Kitchenette and copy areas; ensures sufficient supplies are on hand.
- Greets visitors, communicates regarding nature of visit/business, and takes visitor to appropriate person. Interacts with a variety of external people, such as members, vendors, business partners, etc. May give building tours on occasion.
- Answers calls and gives appropriate information to callers, routes calls to appropriate team or supervisor, and places outgoing calls.
- Receives and routes incoming mail directed to the President/CEO, Senior Leaders and Board of Directors. Locates and attaches appropriate file to correspondence to be answered by executive or board.
- Maintains an efficient filing system for all President/CEO and Board files. Reviews and purges on a pre-defined schedule
- Administers daily intra-organizational communications known as Stage 5; collects and tracks news items from Senior Leaders; finalizes and uploads daily to Moogle.
- Assist other administrative team members, Human Resources, Marketing, and/or Continental in planning and coordinating leadership and/or team member events.
- Coordinates, schedules, and manages Guest Rooms (including for out-of-town new hires attending training at Evergreen), including Guest Room Calendar entries, agreements, and supplies; transmits weekly occupancy notifications as needed.
- Coordinates with Continental on events in The Mint and the Bowling Center, including calendar entries, room setup, menus, etc.; prepare digital signage for The Mint events.
- Serves as part of Knowledge Management Admin Team, working with content developers, preparing and formatting documents and uploading them to The Hub.
- Keeps track of many routine, yet essential, assignments and follows through with the necessary details required to complete individual tasks, enabling leadership to focus on their own workload and meet deadlines.
- Provides off-hour support as needed.
- Other duties as assigned.
- Becomes/is an advocate of the Michigan First culture, supporting diversity, philosophy and other credit union initiatives. Fosters a positive image of Michigan First via professional representation in all contacts and complies with all of Michigan First’s mission and vision goals. Reflects each of the credit union’s “ISMs” in daily job performance. Learns and utilizes the EMEC way (Every Member’s Experience Counts) in day-to-day responsibilities when communicating with members.
QUALIFICATION REQUIREMENTS:
- Five years’ experience in business and/or direct administrative support
- Strong computer skills; proficiency in Microsoft Office, specifically Outlook, Word, PowerPoint, and Excel; and ability to learn additional computer programs as assigned.
- Excellent oral, written and interpersonal communication skills, as well as a high level of sophistication to effectively communicate and interact with Senior Leaders and Board of Directors, internal and external to the Credit Union.
- Strong attention to detail, with a commitment to high quality work.
- Proven ability to work independently and manage multiple projects and activities simultaneously; proactive in pursuing solutions.
- Independent decision-making abilities, as well as considerable judgment and initiative to determine the approach or action to take in non-routine situations.
- Ability to prioritize and meet deadlines, as well as ability to adapt and adjust priorities as circumstances change.
- Maintain strict confidentiality of records and all information that they have exposure to and involvement in directly or indirectly.
- Service-oriented; adept at interacting professionally with members, team members and business associates, employing diplomacy and tact.
- Desire and ability to acquire and utilize a thorough knowledge of Credit Union policies, practices, and operations, as well as adopt and promote the Michigan First culture.
