Job DescriptionPosition Overview:
The Executive Assistant plays a vital role in supporting KIPP Kansas City’s executive leadership by managing schedules, communications, and project coordination. This role requires a highly organized, detail-oriented, and proactive individual who can handle a fast-paced environment and represent the organization with professionalism and efficiency.
Key Responsibilities:
Administrative Support
- Manage the executive’s calendar, coordinating meetings, appointments, and events with a focus on maximizing efficiency and ensuring alignment with organizational priorities.
- Serve as the primary point of contact between the executive office and internal/external stakeholders, handling inquiries, relaying messages, and facilitating communication.
- Arrange travel logistics, including booking flights, accommodations, and transportation, as well as preparing detailed itineraries.
- Prepare, edit, and proofread correspondence, reports, presentations, and other documents on behalf of the executive team.
- Ensure timely follow-up on action items and assist in prioritizing tasks and projects for the executive(s).
Meeting and Event Coordination
- Organize and manage logistics for meetings, including scheduling, preparing agendas, coordinating AV/IT needs, and taking minutes.
- Coordinate and support team events, retreats, and off-site meetings, handling all logistics such as venue selection, catering, and agenda planning.
- Prepare materials for meetings and presentations, ensuring all information is accurate, relevant, and accessible.
Communication and Relationship Management
- Foster strong working relationships across the organization and with external partners, acting as a professional representative of the executive office.
- Handle confidential information with integrity and discretion, safeguarding sensitive organizational data.
- Draft, proofread, and send communications on behalf of the executive team, ensuring alignment with organizational tone and messaging.
Qualifications:
- Bachelor’s degree preferred but not required; equivalent work experience considered.
- Minimum of 3-5 years of experience in an executive or administrative support role, preferably in an educational or nonprofit environment.

- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with other office management software; familiarity with project management and scheduling software is a plus.

Work Environment
- Reports to work Monday-Friday and some weekends.
- A typical school or office environment with frequent interruptions.
